How RosterSync works.

Guides for announcers, stations and school communications offices. If something here doesn't answer your question, email support@rostersync.app and a person will reply.

Getting in

RosterSync is in an invite-only beta. Request access on the home page and we'll email you when your spot opens.

  1. Open your account pageGo to rostersync.app/account and enter the email address your invite went to.
  2. Use the link we email youThere's no password. The sign-in link works once and expires in an hour. If it expires, ask for another one from the same page.
  3. Check what your account includesNew accounts get 3 free sheets. Some invites come with a season pass, which opens every Division I men's and women's game through April 30.

Announcer guide

A booth sheet is one page for one game: both teams' official rosters, with how to say each name and where that pronunciation came from.

  1. Follow the teams you callIn Settings → Teams you call, search for any Division I men's or women's program. You can follow up to 40.
  2. Find the gameThe Games tab lists your teams' games for the next three weeks, in Eastern time. The soonest game is at the top.
  3. Open the sheetPress Open sheet. If you don't have a pass, the button says Open · uses 1 free sheet. Once you've opened a game, it stays open to you.
  4. Print it or take it to the boothPrint / save PDF gives you one landscape letter page with both teams. Download CSV gives your board op or graphics team the same names in a spreadsheet.

On the sheet page

  • Booth Mode goes full screen and, in browsers that allow it, keeps the screen awake. Tablets in landscape start in Booth Mode.
  • Dark switches to a dark screen for a dim booth. Printing is always black on white.
  • Tap a player's row to mark them as on the floor. Reset Floor clears the marks.
  • Where a school has published audio, a play link sits beside the name and plays the school's own recording.

When sheets update

We check every school's official roster each night. A sheet always shows the latest roster and pronunciations when you open it, right up to tip-off. If you print a few days early, print again the day of the game.

Emails

In Settings → Emails you can turn either email on or off:

  • Send my sheets the day before each game: links to sheets for your teams' games in the next day and a half.
  • Tell me when a team I follow changes its roster before a game: sent when a player is added or removed.

Reading the sheet

Every name on a sheet has one of three labels, so you always know which pronunciations you can trust.

✓ Sourced
Published by the school or the athlete, checked against the official roster, and highlighted. The small number beside it points to the source listed at the bottom of the sheet.
– Standard
A common name, said as it's spelled. It doesn't need a source.
? Confirm
Nobody has confirmed it yet. The italic respelling is a machine-made guess. Check it with the school or the player before air.

Sometimes a source covers only part of a name, such as the surname. The rest is then plain (Standard) or italic with a small ? (unconfirmed).

Where the pronunciations come from

  • Player bio pages and roster pages on the school's official athletics site, including any audio on them.
  • The school's communications office, through its RosterSync request link. These are credited to the office at the bottom of the sheet.
  • Standard names come from a pronouncing dictionary and lists of common names.

A ✓ is always copied word for word from the school or the athlete. An AI guess never earns a ✓.

"Not synced yet"

We haven't read that team's official roster yet. Teams are added as each school's roster syncs. The school lookup on the home page shows where each team stands.

For schools

Athletic communications and SIDs

Announcers email you before every game asking how names are said. Fill in one page once, and every RosterSync sheet that uses your names credits your office. RosterSync is free for schools.

Your request link

Each team gets a private link to a form with its current roster already filled in. If you don't have one yet, use Get your school's link on the home page or email support@rostersync.app.

How to fill it in

  • Write each name the way it sounds, with the stressed part in capitals, for example duh-RON RIP-ee.
  • Skip names that are said just as they're spelled.
  • If we already have a respelling from your site and it's right, tick Correct as is.
  • The form keeps a draft on your device, so you can leave and come back.

It takes about five minutes for a full roster.

After you send it

Your names go onto booth sheets for your games, credited to your office. Use the same link to add or change names until it expires, 30 days after we made it. If yours has expired, email us for a new one.

If you publish pronunciations on your player bio pages, we pick them up from there as well.

What we store

We store the pronunciations you type, plus your name and role as the source. Your email is optional. The form is private to the link you received.

Stations and crews

A station account has up to five seats. The account holder adds up to four more people in Settings → Station seats. Each person signs in at rostersync.app/account with their own email and gets the same access.

To change who has a seat, edit the emails and press Save seats.

Troubleshooting

Sheet links are made for one game and stop working three days after tip-off. Open the game again from your account to get a fresh link.

The sign-in email didn't arrive

  • It comes from sheets@rostersync.app. Check spam, junk and promotions folders.
  • Each link works once and expires in an hour. If it has expired, or the page says "Your sign-in expired", sign in again.
  • Use the same address your invite went to. If you haven't been invited yet, request access.
  • Station and school email systems sometimes hold messages from new senders. Ask IT to allow rostersync.app.

Request links last 30 days. Email support@rostersync.app with your school and sport and we'll send a new one.

My free sheets are used up

Paid plans for announcers are coming soon. During the beta, email us and we'll sort it out.

A name or a roster looks wrong

Email support@rostersync.app with the game, the team, the player and what's wrong. If you have a source, such as a school page, a media guide or the player's own audio, include the link. We only mark a name ✓ when there's a published source, so a link speeds things up.

If a player is missing or still listed after the school updated its roster, tell us. We'll check the official site.
